Anonymous visit counts (for example how many people opened a page or pressed a button, and whether they came from Instagram). These counts are not linked to your name, email or any account.
How and Why We Use Your Data
Onlinebooth guests: to build the digital guestbook for the event host and let you download your photo strip. We do not use your photos or messages for advertising or profiling.
Enquiries, bookings and wedding show details: to reply to you, check availability, send a quote, take the booking and run the event. We do this because you asked us to, or because it is needed before a booking can be made.
No marketing emails: we only contact you about your own enquiry. If we ever want to send offers, we will ask for your permission first and you can say stop at any time.
Accounts and tax: invoices and payment records, because the law requires us to keep them.
Running the website: keeping it working and understanding which pages are used, using the anonymous counts above.
We do not sell your data.
Sharing With Event Hosts
If you take part in an Onlinebooth session at an event, your photos, your name (if given), your guestbook message and any video message are shared with the event host through a private host link. You choose, for each photo and message, whether it is also shown on the event guestbook wall (Public) or is for the host only. Public content can be seen by anyone who has the event code. Video messages are for the host only. The host is responsible for how they use and store content after they download it.
Who Else Handles Your Data
We use these providers to run the service. They process data on our behalf:
Google Firebase (database, file storage and website hosting)
EmailJS (sends the notification and confirmation emails when a form is submitted)
Behold (shows our Instagram photos on the Gallery page, and may receive your IP address when you open that page)
Google Fonts (loads the website lettering, and receives your IP address when it does)
Some of these providers are based outside the UK. Where that applies, they rely on recognised safeguards for international transfers.
How Long We Keep It
Wedding show details: up to 12 months, then deleted, unless you book with us.
Enquiries and bookings: up to 12 months after the event or enquiry, unless you book again.
Invoices and payment records: six years, as required for tax.
Onlinebooth photos, messages and videos: kept for the host gallery period of the event's edition (7, 30 or 90 days, or longer if the host extends it), then deleted, which we aim to do within 30 days. Hosts can ask for earlier deletion.
Your Rights
Under UK data protection law you can ask us to:
tell you what personal data we hold about you
correct anything that is wrong
delete your data
Email piczzleuk@gmail.com and we will reply within one month. If you are unhappy with how we handle your data, you can complain to the Information Commissioner's Office at ico.org.uk.
Cookies and Browser Storage
We do not use advertising or tracking cookies. Our websites store a few small items in your browser only to work properly: for example, to count a visit once per session, to remember that the website owner does not want to count their own visits, and to keep the owner signed in to the admin area. None of these identify you.
The Gallery page loads an Instagram feed from Behold, a third-party service, and website lettering from Google Fonts. See the section above.
Changes to This Policy
We may update this page from time to time. The date at the top shows when it last changed.
